New Business Partner Set Up in CMiC NOTE: ALWAYS SEARCH FOR BUSINESS PARTNERS VIA THESE 3 AVENUES BEFORE REQUESTING A NEW PARTNER. 1. "Assign" in Project Partner Directory a. Click on Communication Management>Project Partner Directory b. Click Assign c. Search for Business Partner in the popup box 2. Subcontractor Prequalification – Applicants The subcontractors are now applying for prequalification via the Self Serve module. Once they are approved, CMiC will automatically create a vendor code for them. So if you input them through "Business Partner Request," you run the risk of setting up two separate vendor codes. a, Click on Subcontractor Prequalification>Applicants b. Search for Business Partner in the Search field 3. Business Partner Request It is possible that a BP has not been set up to either be a Customer or a Vendor. a. Click on Communication Management>Business Partner Request b. Search for Business Partner in the Find field c. Once the BP is found, click on the Edit button to pull up the BP information d. Verify the BP is set up correctly (either a vendor or a customer) Once you are sure the BP you want to use is not in the system, please follow these steps. STEP 1: Make sure you have their W9. Enter the information directly from the W9. If you are working with another office location, then see the "Modify Existing Partner" How To after the BP has been set up. STEP 2: Click the Business Partner Request link. STEP 3: Click Add New STEP 4: Turn on your Caps Lock (everything you enter here should be in CAPITALS) a. Enter the desired information into the Partner Name field. b. Enter the BP Address information c. Click the Search button on Legal Entity Type d. Chose Legal Entity Type e. Click OK f. Enter Tax ID in the Registration Code field g. Click SAVE h. Click User Extensions i. Click BP Update Request j. Click Insert k. Click the Search button on Business Partner Type l. Chose BP Type m. Click OK n. Click the Search button on BP Terms o. Chose the BP Terms p. Click OK q. Click Attachments r. Either Click Chose File or drag W9 to open field to attach s. Click Upload t. Click Save and Exit

BP Request - Update an Existing Business Partner
BP Request - Update an Existing Business Partner NOTE: Prior to updating vendor information in CMiC, contact the vendor for an updated W9 form. NOTE: If the vendors Tax ID number changes, then a new vendor must be set up. A name change is not sufficient for this change. STEP 1: Go to Communication Management > Business Partner Request STEP 2: Find: Search for the BP in the and click Go. STEP 3: Click the pencil icon to view Vendor Information. STEP 4: Click User Extensions STEP 5: Click BP Update Request STEP 6: Click Insert STEP 7: BP Request: Add Notes: this is where you will add the new information (address, vendor name, “make active” or whatever you need done) NOTE: If a name change is required, make note here and attach W9 (see below on adding an attachment). Any other BP updates, such as address change, need to be noted here. Date and initials to be included for reference. STEP 8: Click SAVE. STEP 9: Click Attachments. STEP 10: Upload Attachment by clicking Chose Files or by dragging files to box. STEP 11: Click Upload. STEP 12: Click Save and Exit.

ADF - Business Partner Request STEP 1: Go to Communication Management > Business Partner Request. Note: Search to see if the Business Partner (BP) all ready exists in CMiC by using the "Find" box. STEP 2: From the Business Partner Maintenance screen, click Add New in the upper-right-hand-corner of the screen. NOTE: click the caps lock, the entire business partner should be entered in all caps STEP 3: Complete the Business Partner Maintenance screen: a. Name b. Also Known As (Optional) c. Company Address d. Contact Information e. Company Information: Legal Entity Type: CORP, EMP, SOLE, etc. Registration Code: TAX ID OR SSN (for Sole). Class: Consultant, Employee, Subcontractor, Vendor (Skip this step for Customer BP). f. Click SAVE. g. Click User Extensions. NOTE: Check the SSN box only if the Business Partner is Sole Proprietor and the SSN was used as Tax ID. If you are entering a Customer BP, you are done. Adding a W9 as an Attachment is not required for Customers. User Extensions Steps: STEP 4: Complete the BP Update Request screen: a. Click Insert. b. Select Business Partner Type from LOV. c. Click SAVE. d. Click Attachments. STEP 5: Browse for where you stored the Subcontractor's W9. STEP 6: Click Upload. STEP 7: Click EXIT.
