Creating Budget Import Sheet for CMiC Project Bid Items (new)

Introduction
Step-by-step instructions for creating a new project budget bid items import using the new version of the Budget Import spreadsheet templates.

Steps
1. On SwinNet, select the correct spreadsheet template for your project, then click to open it in Excel.
2. Select the Company Code, input your Job Number and Retainage percentage, then click the Save File macro button.

Note: It is important that you click ONLY the Save File macro button, and that you do it immediately after setting your Company, Job Number, and Retainage. Doing so saves the changes to a new spreadsheet file on your Desktop, and releases the open file from SwinNet. If you click the normal Save button in Excel, or build out your full budget in the file without saving it to your Desktop first, you risk losing everything you've entered.
3. Next, take your expected Cost Budget and Revenue Budget amounts and enter them under the Expected column under STEP 3 at the top. This isn't required, but provides an easy, visual way of making sure the budget line items you are working with below total up to your expected budget amounts above.

Note: At any time during your work on the budget, you can click the Save File macro button and this will update the saved file on your desktop with any changes.
4. Now work through the list of Phase Codes listed in the lower portion of the template, putting a 'Y' in Column A next to any of them that you need included on your import. Adding a 'Y' in this column will highlight each of the lines in yellow, as well as highlight any further, required cells in red.

5. Once you have all needed line items with a 'Y' in Column A, then click the filter arrow in Row 10 of Column A and filter for only cells with 'Y'.

6. Now begin working through your line items, adding relevant information/selections for Category Code, Phase Type, Forecast Method, W/M selections (for input and output), productivity units and cost per unit, and your Cost/Revenue budget amounts. Again, required cells that need to be completed are highlighted in red.

7. If you need to duplicate a row (say to use the same Phase Code with two different Category Codes), just click on any cell in the row that you need to duplicate, then click the Duplicate Selected Row macro button. Similarly, if you need to delete a duplicated row, highlight the row and click the Delete Selected Row macro button.

8. Once you have fully completed your budget, your totals at the top align, and you are ready to import into CMiC, click the PM Bid Items Import macro button. This will save the file, then create a new .csv file (saved to your desktop) that will be used to import your budget items into CMiC Project Bid Items. If your sheet is not filtered by 'Y' in Column A it will not export and will prompt you to filter first then try again. After the file has saved successfully you will get a prompt saying so and you can then close the open Excel file.
