Outlook Overview When adding an additional mailbox to Outlook there are a few key settings that must be set to reduce performance issues and ensure continued access to the mailbox. No mailbox should be added with username/password – permissions to mailboxes are managed on the back end. Additional mailboxes are used for numerous reasons: There is no need for a username and password which makes this more secure When the password expires, the end user will have no interruption in service The user will be able to access the mailbox from webmail without needing the password In our cached exchange mode, it’s important to turn OFF downloading of shared folders The local data file size limit is 50GB – we don’t want this filling up with email from a shared mailbox When shared folder downloading is turned off, the mailbox shows as an ‘Online’ mailbox and can only be accessed while connected to the internet Steps to Perform From within Outlook, click File then Account Settings and Account Settings again Double click your account shown on the ‘Email’ tab Click More Settings In the advanced tab: Uncheck “Download Shared folders” Uncheck “Download Public Folder Favorites” Click Add Input the additional mailbox name Click Ok Click OK again to close the mailbox settings then close and reopen Outlook.
