Project Hierarchy setup in Workday
A] Below are the steps to set up the Project Hierarchy in WD:
-
Cost Center Hierarchy (Manual setup but Pre-Requisite for Project Integrations):
- The integration relies on the Cost Center hierarchy to determine the appropriate project hierarchy in Workday at the time of Project creation.
- It is very important to setup the cost center hierarchy correctly the first time around before we start associating projects to that cost centers. Changing cost center hierarchy once they are associated to projects will require lot of manual steps(steps defined below in this article).
-
- Project Hierarchy:
- Project hierarchy gets integrated automatically based on the project cost center hierarchy. If project belongs to cost center 105650 and if that cost center is associated with division 056, then the project hierarchy will also fall under 056 as shown below. Please note that integration only have the option to associate a project hierarchy when the project gets created the first time. Workday API / Integration DO NOT have any capability to modify the project hierarchy once its created. Therefore it is very important to setup the cost center hierarchy correctly the first time around before we start associating projects to that cost centers.
3. Resource plan:
- Note that the integration does not manage the Resource plan. However workday might be defaulting the resource plan based on the associated project hierarchy.
- If any issues persist with the resource plan, it may require modifications directly Workday and this will not have any impact on the integration.
Please follow these steps to ensure the correct setup of the Project Hierarchy and associated elements in Workday.
B] The following are the steps to modify existing hierarchies:
-
Modify Cost Center Hierarchy:
- If you expect a different project hierarchy in the project record within Workday, the cost center hierarchy must be modified first.
- The integration relies on the cost center hierarchy to determine the correct project hierarchy in Workday.
-
It is crucial to set this up correctly initially; otherwise, manual adjustments in Workday will be required later.
- Manual Modification of Existing Projects:
- If there are projects that are already created in Workday and now you are trying to modify the project hierarchy, then in such cases, project hierarchy must be manually adjusted in Workday for those projects associated with the wrong hierarchy.
-
On-Demand Job Number from Integration:
- Use the on-demand job number from the integration dashboard or make some changes in CMiC and that would trigger the integration from CMiC to Workday.
- This step ensures successful synchronization between the systems.
-
Resource Plan:
- Note that the integration does not manage the Resource plan. However workday might be defaulting the resource plan based on the associated project hierarchy.
These steps help ensure the seamless modification of existing hierarchies and the proper functioning of the integration between CMiC and Workday. If you encounter any challenges or need further assistance, please submit a ticket.
