Citrix ShareFile Software Update
Swinerton’s use of ShareFile will be reduced to leverage BIM 360, Teams, or OneDrive for data sharing. This transition will start taking place in December of 2022, and we will be fully out of ShareFile by December 2023. Switching to BIM 360, Teams, or OneDrive will keep data in one place, enhance data recovery, and provide better data security overall.
We recommend sharing project contract documents through BIM 360 when applicable. If BIM 360 is not an option or reasonable for external teams, we recommend the use of Teams or OneDrive for sharing the data.

Sharing through OneDrive

Any external sharing that cannot be performed through the Best Practices options listed above. The external recipients without a Microsoft account, they will receive an access code. This will allow security and reduce the likelihood of unauthorized access to files.
Files on your OneDrive are private until you share them. This sharing allows others to keep folders or files alongside their own items within OneDrive, easily move items between folders, and work offline. Any updates made will sync to the shared folder so everyone with access to the folder stays up to date.
There are 4 options for sharing on OneDrive:
- Anyone with the link – Not an Option

People in Swinerton with the link gives anyone in the organization who has the link access to the file, whether they receive it directly from you or forwarded from someone else.

People with existing access can be used by people who already have access to the document or folder. Use this if you want to send a link to somebody who already has access.

Specific people give access only to the people you specify. If people forward the sharing invitation, only people who already have access to the item(s) will be able to use the link. This option will work for external users. Share directly to the external user(s) or use the Copy Link feature and add to an outlook email. The external user clicks the link and is send an auto-generated verification code before gaining access to the data.
Sharing through File Explorer on laptop:
Open your file explorer to access OneDrive – Swinerton on the laptop (if not available please submit a Fresh Service ticket to our support team). Right-Click on any folder or file and click Share with the blue cloud icon. For external users select People you specify can view, this will allow user(s) to view or download the data. Enter the external user’s email(s) and click Send or use the Copy Link feature to add the link to an email for further messaging.
The external user(s) will receive an email with the link to Open. Once they click on the Open link, they will be required to enter a verification code that is auto generated and sent to their email before accessing the data.
The user will receive an email with the auto-generated verification code to enter allowing access and download of the data.
If the link or email is forwarded to another user not invited to view the document, they will receive a “Sorry, you don’t have access” pop-up where they can request access from you. An approval email will get sent to the person who originally shared the document for approval.
